Assistant to the Head of School

This opening calls for specific administration qualifications set by the school.

CalWest client school in the Greater Nevada area seeks an Assistant to the Head of School to begin July 1, 2025.

Qualifications

  • Experience: Minimum of 3–5 years of administrative experience, preferably in an educational or non-profit setting. 
  • Technical Skills: Proficiency in Microsoft Office Suite, Google Workspace, and database management. 
  • Organization & Communication: Strong written and verbal communication skills with keen attention to detail. 
  • Confidentiality: Ability to handle sensitive information with discretion and professionalism. 
  • Interpersonal Skills: Excellent relationship-building abilities and capacity to interact effectively with all school constituencies. 
  • Problem-Solving: Initiative and resourcefulness in managing multiple priorities and unforeseen challenges. 

Preferred Qualifications:

  • Familiarity with independent school culture and operations. 
  • Experience managing board relations and school governance materials. 
  • Project management experience is a plus. 

Responsibilities

Administrative & Clerical Support:

  • Manage and coordinate the Head of School’s schedule, meetings, and travel arrangements. 
  • Screen and prioritize incoming communications, including emails, calls, and visitors. 
  • Prepare reports, correspondence, presentations, and other documents as needed. 
  • Maintain confidential records and sensitive school information. 
  • Serve as a liaison between the Head of School and faculty, staff, parents, and external stakeholders. 

Event & Meeting Coordination: 

  • Organize and prepare agendas, materials, and minutes for leadership team meetings and board meetings. 
  • Plan and coordinate events, including faculty meetings, professional development sessions, and school functions. 
  • Assist with logistics for school-wide events and initiatives as needed. 

Operations & Project Management: 

  • Track key deadlines and follow up on action items for the Head of School. 
  • Oversee special projects assigned by the Head of School to support school initiatives. 
  • Support compliance with accreditation and school policies by maintaining necessary documentation.
